Kronos is a labor management system that enables employees to record time spent in job-related activities, as well as view accrued vacation and sick time.

Notice: Kronos upgrade to 5.2 effective July 16th 2007. See the Kronos FAQ below for the details of the upgrade.

Under the Online Tutorial section on the right, click through the "Intial Setup" tutorial and the "Logging into Kronos" tutorial, and then select the link for "Filling out Timecard" that is appropriate to your designation. Finish with the "Approving your Timecard" tutorial, and if you are a manager, the "Kronos Manager" tutorial.

What has changed with the upgrade to Kronos 5.2?

  1. Kronos logins are now authenticated by NetID. You should login to Kronos with your NetID and NetID password.
  2. The web address of Kronos has been changed to http://www.kennesaw.edu/kronos
  3. New time clocks have been installed for use by "Time Clock" (card swipe) employees. See the "Time Clock Quick Reference" guide to learn how to use the new time clocks. "Time Clock" employees will swipe in and out with their KSU ID cards. The use of the proprietary cards will be discontinued.
  4. Student assistants that are not "Time Clock" employees will be changed to the "Time Stamp" view. When reporting for work, the "Time Stamp" employees will login to Kronos and click on the "Record Time Stamp" button which will record the "in" time directly to the student's timecard. Student assistants must use the time stamp functionality each time they report in or out of work.
  5. Results of running the "Pay Period Close" genie and the "Reconcile Timecard" genie can now be exported to Excel.
  6. Improvement in accrual balance reporting

It has been over 2 weeks, and my new employee still is not in Kronos!

If an employee has previously worked at KSU, Payroll may have to add the employee back to Kronos manually. Please email Service@kennesaw.edu and include the employee’s name and NetiD, and a ticket will be forwarded to Payroll to add the person back. Until your employee's account is created you should report their time with the paper timesheet.

I work for two departments, and I’m only seeing one.

Employees at KSU that work for more than one department, account number, or grant, are referred to as Multi-Assigned Employees. When reporting time worked or leave taken in Kronos, the multi-assigned employee must indicate the proper account.

The Transfer field is used to associate a row with a specific department number.

  

To enter Hours Worked for one department:

Click in the Transfer Box of the first row for the week involved.

Click on the small black arrow on the right side of the Transfer box.

Select Search.

  

If you receive an error message that states that there is no work rule defined, ignore it, and click OK.

The Select Transfer window should now open.

  

There are two parts of the number that you must choose, the Department, and the Supv-Wrk Group. If you do not know these numbers, you should ask your supervisor in the desired department.

With DEPARTMENT selected on the right side, enter the account number into the Name or Description box and click search, or scroll down through the Search Results on the left side until you see your department number. Select the correct department number and it should appear in the DEPARTMENT Name box on the right.

    

With SUPV-WRK GRP selected on the right side, enter the supervisor group number into the Name or Description box and click search, or scroll through the Search Results window and select the correct Supervisor Work Group. The number should appear in the SUPV-WRK GRP Name box on the right.

  

Click OK.

The combination of numbers should now appear in the Transfer box.

  

This procedure gives you a row to enter hours worked for one department.

Click on the Insert Row button to add another row.

  

You should now have two rows for this one week.

Click in the Transfer box for the second week and repeat steps 2 through 6 to enter the hours that you worked for the 2nd department.

  

The next time you have to enter the account information, it should appear as a recently used list that you can easily choose from.

I am unable to click in the time boxes to edit my time.

Make sure the time card is not approved.  After a timecard has been approved by an employee, or supervisor, it can no longer be edited, even by the approving employee. 
If an approved timecard needs to be edited, then the approval must be removed.  To remove an approval, select Approvals > Remove Approval.

Note: Supervisor approvals will lock the employee from making further changes to the timecard and the employee will not be able to Remove the Approval.  The employee must contact the supervisor to make any edits to the time card at this point.
 - Make sure you are looking at the correct pay period! For Bi-weekly employees, the pay period ends every other Friday. For monthly employees, the pay period ends on the last day of the month.

I am a manager, and I’m missing some of my employees.

Contact the KSU Service Desk by phone or email. A technician will create a work order and forward it to the Payroll Department. Only Payroll can correct the problem. Sometimes, it may be necessary to fill out a PAF form for Human Resources to change the “reports to” structure in Peoplesoft, which  feeds that data to Kronos.

When should the employee report his/her time on Paper?

Payroll will notify the supervisor of a new employee that the Kronos account is ready. Until that time, the new employee should use a paper time sheet.

When should a monthly staff employee complete a Kronos timesheet and when should the manager approve it?

Monthly employees should approve their Kronos accounts by the last business day of the month.

Managers should approve the employees’ accounts by the 10th of the following month.

I can get to the Kronos page, but cannot see the login fields?

-Please check at the top of the window, there should be a message stating that an Active X Control is needed. Click that message, and follow the instructions to install the necessary plug-in.

If that doesn’t resolve the issue then try the following:
-Go to Control Panel - Add/Remove Programs. Uninstall the Java 2 Runtime Environment 1.4.1
-Return to Kronos, and the Java plug-in will reinstall itself
